A roller shutter that hesitates at 7am, an automatic entrance door that will not close at night, or a loading bay door stuck open can quickly become more than an inconvenience. It can stop deliveries, compromise security and leave staff or visitors exposed to risk. Knowing how to plan door servicing gives you control over those risks before a fault becomes an emergency callout.
For commercial and industrial premises, planned servicing is not simply a diary exercise. The right approach reflects how each door is used, who depends on it and what would happen if it failed. A warehouse loading door working through repeated vehicle movements has very different demands from a retail security shutter operated twice a day.
Start with a clear picture of every door on site
The first step is to create a simple door asset register. This does not need to be complicated, but it should give your facilities team and service engineer an accurate view of what is installed and where.
Record the door type, location, manufacturer where known, approximate age, controls, safety devices and how often it operates. Include industrial roller shutters, sectional doors, high-speed doors, automatic sliding or swing doors, security shutters and dock equipment. Note whether a particular door is essential for dispatch, emergency access, customer entry or securing stock overnight.
This exercise often highlights gaps. It is common for a site to know its main loading door well but have limited records for a side shutter, a personnel entrance or an older automatic door. Those less visible assets still need attention, particularly if they are part of your security or access arrangements.
Keep a record of previous repairs too. Repeated issues with a motor, control panel, safety edge or door curtain can indicate that the service interval needs changing, or that replacement is becoming more cost-effective than continued reactive repairs.
Assess risk and usage before setting service intervals

A busy distribution unit may operate a high-speed door hundreds of times each day. It will usually need more frequent inspection than a shutter at a small unit that opens in the morning and closes at the end of the day. Plan servicing around your actual operating hours
The best maintenance plan reduces disruption rather than creating it. Before booking a visit, identify quieter periods, planned shutdowns, stocktakes, holiday closures and times when alternative access routes are available.
For a warehouse, this might mean servicing loading doors between delivery windows or on a lower-volume day. For a shop, it may mean arranging work before opening, after closing or during a pre-agreed period when the premises can still be secured. Healthcare and public-facing sites may need a phased plan so that at least one accessible entrance remains available at all times.
Avoid treating every door as if it can be taken out of service at once. Where a building has several shutters or loading bays, stagger the work. This gives engineers safe access and allows your operation to continue with a workable contingency in place.
It is also worth checking whether servicing may require temporary isolation of electrical supplies, pedestrian routes or vehicle areas. Inform relevant staff in advance and arrange barriers, alternative routes or a banksman where necessary. Good preparation saves time on the day and reduces the temptation to postpone work because the site is too busy.
Build in time for repairs, not just inspections
A service visit may identify worn parts that should be replaced before they fail. That is a positive outcome, but it needs planning. Ask your provider to explain which repairs are urgent, which can be scheduled and whether the door can remain safely operational in the meantime.
For critical doors, agree how replacement parts will be sourced and what response is available if a fault develops between visits. A local engineering partner with access to recognised manufacturers and suitable parts can make a substantial difference when downtime is costly.
Give your service engineer the information they need
A thorough service is more effective when the engineer understands the site before arriving. Do not assume a minor issue is irrelevant. The exact work depends on the door type, but a competent planned maintenance visit should be more than lubrication and a visual check. It should examine the door’s mechanical condition, electrical controls, safety features and day-to-day operation.
For industrial and commercial doors, this commonly includes checking fixings, guides, rollers, springs, cables, bearings, curtain or panels, motors, limits, control panels and remote controls. The engineer should test safety devices and inspect for signs of impact damage, misalignment, corrosion or excessive wear.
Automatic doors require particular care around sensors, activation devices, safety zones and closing forces. Docking systems need inspection of restraints, levellers, seals and associated controls. High-speed doors may need closer review of their curtain condition, reset function and high-cycle components.
Ask for a written report after each visit. It should record the work completed, defects found, recommendations, parts fitted and the condition of the door. This creates an audit trail for property managers and gives you evidence for future budgeting decisions.
Budget for maintenance as an operating cost
Planned servicing is usually easier to budget for than emergency repairs, lost trading time or damaged stock. Rather than waiting for a major fault, set aside a maintenance allowance based on the number, type and criticality of doors on site.
The cheapest service quote is not always the lowest-cost option. Consider what is included: inspection depth, safety testing, reporting, engineer competence, response arrangements and the provider’s ability to repair the systems they service. A low initial price has limited value if faults are missed or if you need to find another contractor when the door fails.
Replacement should also be part of the longer-term plan. Older systems can sometimes be repaired economically for years, particularly where parts remain available and the door suits the building’s needs. However, recurring breakdowns, poor security, obsolete controls or rising repair costs may make a new installation the better business decision.
Make daily checks part of the routine
Planned engineering visits work best alongside simple observations by the people who use the doors. Staff should not attempt repairs or adjustments, but they can report obvious changes promptly.
A short opening and closing check can identify unusual noise, jerky movement, damage to guides or curtains, failed sensors, loose fixings, water ingress and poor alignment. Keep the area around the door clear, especially safety sensors, tracks and escape routes. At loading bays, report impact damage immediately, even where the door still appears to operate normally.
Create a straightforward reporting route, such as a facilities log or named contact. The aim is to stop small defects being accepted as normal until they become a failure at the worst possible time.
Review the plan after the first year
A maintenance schedule should develop with your site. Review service reports, callout history and downtime after the first twelve months. If a door has needed repeated attention, ask whether increased servicing, a targeted repair or a replacement plan would reduce disruption. If a low-use door has remained fault-free, the interval may be appropriate as it stands.
